Building the organisation and its systems

Athan, Demetre, Victoria and I started GYSA to bring Greek youth in South Australia together. We were building a new organisation, so there were no existing systems to work around.

I designed and built the website and the tools behind it based on my understanding of what we needed to run the organisation. The public website introduces GYSA in English and Greek, while the account and admin portals handle memberships.

Letting people manage their own membership

Creating an account is free. People can then purchase a GYSA membership separately through their account portal, without needing a committee member to handle the signup for them.

We put memberships through the website so they’re tracked in one place. It gives members a self-service way to join and keeps the records available to the committee.

Giving the committee the tools to manage it

I built the admin portal so committee members and admins can add members and add, change or remove memberships themselves.

Members of the two university Greek clubs in South Australia also receive free GYSA membership. Rather than entering everyone individually, we take a CSV export from each club and import it directly into our site.

The person doing the import assigns the memberships. Once imported, those users just need to activate their accounts.

Growing with the organisation

We have around 80–90 active members in 2026. The organisation is still getting started, and we’re continuing to improve how it runs.

Being involved in both the organisation and the software means I understand how the systems are used day to day. I can keep improving them as we learn what the committee and our members need.
